Power Automate Approvals – quick setup, real benefits

by | Apr 1, 2025

Looking to streamline the process of approving documents, orders, or vacation requests without the hassle of constant emails? Here’s a simple way to set up an approval flow in Microsoft Power Automate:

1. Create a new flow in Power Automate (for example, an “Automated flow”). Choose a trigger that will start the process – such as receiving an email with an attachment or submitting a form via MS Forms.

2. Add the “Approvals – Start and wait for an approval” action.
Enter a title, description, and the email addresses of the people who should approve the document.

3. Set up the “If approval = YES” path – here you can move the document to a specific SharePoint library, notify the accounting department, or store data in Microsoft Dataverse.

4. Define the “If approval = NO” path – this is where you configure actions for rejected items, like sending feedback to the requester via email or moving the file to a “Needs revisions” folder.

5. Add final notification steps – for example, send a message to the requester informing them that a decision has been made and what it was.

6. You can view and manage vacation requests (or other approvals) directly in the app.

With this setup, each step of the process is automated, giving you a clear and centralized history of all approvals. No more email chaos or digging around for the latest version of a document – Power Automate Approvals keeps everything in one place.

The result? Time saved for the business, and employees have a clear view of the status of every request.
